Position Summary: The Service Department is an integral and vital part of the dealership, and the way it builds open, honest, trusting relationships with customers and other departments is essential to the dealership's success. The Service Manager takes the lead role in managing an efficient and profitable Service Department through productive staffing, customer retention, technician training and quality workmanship while improving productivity and reducing costs to meet objectives.

Position Summary: As a Service Advisor you will be the first point of contact for our customers. This position requires great customer service skills and diligence to maintain a positive experience for the customer throughout the entire repair process. Applicant must be very well spoken with positive outgoing demeanor. Proper grammar skills are a must as well as the ability to communicate repair procedures to the customer timely in order to get their vehicle back on the road as quickly as possible. This position requires basic knowledge in computers as well as Word and Excel. On-site training is provided for the programs that are used.

Responsibilities include but are not limited to:

  • Lead the Service Technicians and provide daily workflow.
  • Schedules service appointments obtaining customer and vehicle data prior to arrival when possible.
  • Greets customers in a timely, friendly manner, and obtains vehicle and failure information.
  • Handles telephone inquiries regarding appointments and work in process.

  • Establishes "promised time" and maintains service daily log.
  • Checks on progress of repair throughout the day. Contacts customers regarding any changes in the estimate or promised time, explains cost and time requirements in detail, and gets proper authorization before any additional repairs are performed.
  • Accounts for all documents, ensuring that none are missing, and all are processed correctly.
  • Ensures the proper care, storage, and inventory of special tools.
  • Ensures that customer files are up to date and readily available for reference.
  • Reviews repair orders to ensure that all work is completed, and additional work is authorized and noted. Closes repair orders daily.
  • Reviews mechanics' punch times to ensure proper punching and corrects as necessary daily.
  • Reviews closed lines, ensures correct stories with CCC's, bills oil, Freon, and other lube, bills out sublets, looks-up and bills flat rates, looks-up and enters warranty coding, and all closed lines daily.
  • Obtains customer's signature on repair order, provides customer with a copy, and explains completed work and all charges to customers.
  • Monitors to ensure that quality control process is followed to eliminate comebacks.
  • Establishes customer's method of payment. Obtains credit approval, if necessary.
  • Ensures that vehicles are parked in assigned areas. Makes sure they are locked, and all keys are marked and secured correctly.
  • Fully understands our product warranties and can communicate this to our customers.
  • Strives for teamwork and harmony within the department and with all other departments.
  • Keeps Service Department forms, menus, and pricing guides up to date.
